Retainer
Fleet Management
When your firm's principals fly through Delhi, Mumbai or Bengaluru weekly — stop booking ad-hoc and let us hold the seat.
For: Listed corporates, private-equity firms with India portfolio companies, sovereign-fund India desks, family offices with multi-generation travel, conglomerate chairmen's offices.
If your firm's executive travel through India is more frequent than monthly, ad-hoc booking burns your travel desk and exposes the principal to inconsistent service across attempts. A fleet retainer puts a named coordinator on standing call at your HQ city's airport — same person, same WhatsApp number, same desk officers cultivated over months — and bills as one quarterly engagement instead of dozens of per-trip invoices your finance team has to chase.
What's coordinated end-to-end
- Named coordinator at your HQ airport — relationship continuity, not a rota
- Standing pre-coordination with BoI / lounge / ground-handling — desk staff know your principals by name
- Dedicated account manager (founder-level for first 6 months) as your single contact
- Monthly retainer covers base availability + agreed number of movements
- Per-event flex above the base, billed at retainer rate (not ad-hoc premium)
- Family-member coordination on the same retainer — spouse, parents, adult children
- Discreet integration with your existing corporate travel desk (Carlson / BCD / FCM-aware)
- Quarterly review with usage analytics, desk-officer feedback, process refinements
- Single consolidated GST invoice — quarterly or monthly per finance preference
- Multi-airport activation as your travel pattern expands (Delhi + Mumbai + Bengaluru most common)
How an engagement runs
- 1
Discovery & scoping
Founder-level call with the office of the principal or the corporate travel desk lead. We map your firm's typical India travel pattern: which airports, what frequency, who's the principal, who's the back-office contact, what's the current pain point. Output: a one-page scoping memo for your sign-off.
- 2
Coordinator assignment
Named coordinator allocated at your HQ airport. They spend the first week walking the route with the desk officers, ground-handling supervisors, lounge managers — building the same relationships your travel desk would build over years. We share the coordinator's profile + direct WhatsApp with your office.
- 3
Live operations
Trip requests flow to your account manager via WhatsApp or email — typically a one-line note 'X arriving DEL T3 IST 14:20 Thursday'. We confirm in minutes, coordinator pre-aligns desks, principal gets the standard EWS arc on the day. Family-member trips routed identically without re-onboarding.
- 4
Quarterly business review
Founder-level call with the principal's office: movement count, on-time greet rate, any incident-of-note, desk-officer turnover notes, recommendations to refine. Usage true-up against retainer cap; any over-cap movements rolled to next quarter or invoiced separately per your preference.
Engagement & pricing
Retainer structured against expected monthly movement count. A typical single-principal-single-airport retainer (4-8 movements / month) sits in the mid-five-figures INR per month. Multi-airport, multi-principal corporate retainers are quoted after the scoping memo. All retainers are 6-month minimum with quarterly review breaks; no auto-renewal traps.
Coordinators sign annual NDAs renewed each year. We will sign your firm's own NDA template on request; we never ask you to sign ours. Principal travel patterns are held only as long as operationally required and never used for any marketing or case-study purpose.
Speak with the founder directly
Every engagement begins with a 10-minute call to understand the principal, the route, and the discretion level required. No quotation goes out without it.
