Dignitary movement at an Indian airport is a chain of small, sequenced courtesies — the right desk officer notified at the right hour, the right vehicle at the right gate, the right protocol observed at the right handover. We coordinate that chain in advance with the airport authority, Bureau of Immigration, ground-handling supplier, and the principal's office or embassy POC. On the day, the principal experiences a single calm arc from aircraft door to motorcade — every transition pre-rehearsed, nothing left to airport happenstance.
We take the brief from the embassy / chairman's office POC: arrival manifest, accompanying delegation, security protocol level, vehicle plan, lounge requirement, any state-protocol notifications. All correspondence on secure channels; everything held on-shore in India.
48-24 hours out, we notify the relevant airport authority cell + BoI desk + ground-handling supplier. Confirm vehicle entry permissions, apron access if approved, parking-bay assignment for the motorcade. Embassy advance team briefed with names + contact numbers of every on-ground person.
Protocol officer at the aerobridge or apron per security plan. Greeting per the principal's office preference (handshake, namaste, salaam). Immigration desk pre-held; baggage handled in parallel; lounge or direct-to-vehicle path per brief. Handover to motorcade lead with single-line acknowledgment to embassy POC.
Mirror service for departure leg if engaged. Written debrief to office of principal within 24 hours — anything observed, any process recommendation for next visit. Invoice raised against embassy / office PO with full audit trail.
Quoted per visit against the brief. Pricing reflects protocol-officer credentialling, number of authority coordinations required, lounge bookings, and vehicle-side arrangements. Embassies and ministerial offices are typically invoiced against a standing PO with consolidated monthly billing for repeat visits.
